2. Why do we process this personal data? (Purposes and legal bases)

Mindstage B.V. processes your personal data for the following purposes:

  • To contact you/answer your questions: If you fill out the contact form on our website, we use your information to get in touch with you and answer your question or request.
    • Legal basis: Performance of a contract (responding to your request) or legitimate interest (to communicate effectively with website visitors).
  • For analyzing website behavior to improve the website: We collect anonymized and pseudonymized data regarding the use of our website to understand how visitors use the site, which pages are popular, and where the website can be improved. We do this using tools such as Google Analytics 4 and Microsoft Clarity.

3. How long do we store personal data?

Mindstage B.V. does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data:

  • Data via contact forms: Until your question has been fully answered and for a reasonable period thereafter to address any follow-up questions, but no longer than 6 months.
  • Data for website analysis (via GA4, Clarity): The retention period for anonymized/pseudonymized user and event data in Google Analytics 4 is set to 14 months. Microsoft Clarity retains data for 90 days.

4. Sharing personal data with third parties

Mindstage B.V. does not sell your data to third parties and will only provide it if necessary for the performance of our agreement with you or to comply with a legal obligation. We enter into data processing agreements with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Mindstage B.V. remains responsible for these processing operations.

We may share your data with the following categories of third parties:

  • Hosting provider: For the technical hosting of the website (Webflow).
  • Google (via Google Analytics 4 and Google Tag Manager): For website analysis and tag management. We have concluded a data processing agreement with Google. We have pseudonymized the data as much as possible and disabled the option to share data with Google for analytical purposes.
  • Microsoft (via Microsoft Clarity): For heatmap and session analysis. A data processing agreement has also been concluded with Microsoft.

5. Cookies or similar technologies we use

Mindstage B.V. uses functional and analytical cookies. A cookie is a small text file that is stored in the browser of your computer, tablet, or smartphone when you first visit this website.

  • Necessary/functional cookies: These are essential for the operation of the website (for example, remembering your cookie preferences). No consent is required for these.

You can send a request for access, correction, deletion, or data transfer of your personal data, or a request to withdraw your consent or object to the processing of your personal data, to contact@mindstage.nl.

To ensure that the request for access has been made by you, we ask that you include a copy of your ID with your request. In this copy, please black out your photo, the MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but no later than within four weeks.

7. How we secure personal data

Mindstage B.V. takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized alteration.
